Archiving and Un-archiving cases

Learn how to archive, un-archive, and report on cases in Elemental, including how archived data is handled across the platform.

What happens when you archive a case?

  • Archived cases are removed from active case lists.

  • They can be excluded from reports.

  • Useful for hiding duplicates, errors, or cases you donโ€™t want included in reporting.

๐Ÿ“ŒNote: If a client has only one case and itโ€™s archived, they will still appear in Find Client, but not in Find Case.


How to archive a case

  1. Click Find Case.

  2. Search for the client.

  3. Click Case Data on the case you want to archive.

  4. Click Archive Case.

  5. Confirm by clicking Yes.

Once archived, a new Archived tab appears at the top. It defaults to the Current view, but you can switch views as needed.


How to un-archive a case

  1. Click Find Case.

  2. Search for the client.

  3. Go to the Archived tab.

  4. Click Un-Archive Case.


Finding archived cases

  • Use the Archived checkbox in the filter.

  • Archived cases will appear in red and be labelled ==ARCHIVED== next to their status.

  • Clicking Case Data on an archived case opens the Client Overview page in the Archived tab


Reporting on archived cases

Archived cases affect the following reports:

  • Activity Report (Enhanced)

  • Case Management Report

Entities linked to archived cases are also marked as ==ARCHIVED==, including:

  • Referrals

  • Appointments

  • Visits

  • Goals

  • Prescriptions (and sign postings)

In these reports:

  • The Archived checkbox is selected automatically.

  • The overview shows the number and percentage of archived cases/entities.

If a client with an archived case is referred again later, the platform recognises the existing profile and allows a new case to be added.
