By default, facilitators can only view the Facilitator Calendar to mark attendance. If a facilitator needs to edit or manage intervention details, you must assign them the Provider (External) role.
Follow the steps below to update the facilitator's account, connect them to the relevant hubs, and share their login details so they can start using Provider Tools.
⚠️Important: You need the correct administrative permissions to update user roles.
Update a facilitator to an external provider
Go to Administration, then Users.
Use the search to find the facilitator, then click Edit.
In the roles section, add Provider (External).
This gives access to Provider Tools.
The facilitator will only see interventions they are linked to.
No additional roles are required.
Connect the user to the required hubs across the licence.
This connects the user to the relevant domains and programmes.
Check the user has both an email address and address added.
Go to the Location tab and select Use Address to pin the address on the map.
Click Save.
Send login details to the provider
Once the account is set up, send the provider their login steps using the template below.
Email template for providers
Hi,
You have now been set up with an account for the Elemental Platform.
Follow the steps below to log in:
Go to the Elemental Platform portal
Select Forgotten Password.
Enter your email address or username.
Your username is your full name in lowercase with no spaces.
Select Send Request.
Check your inbox for an email from [email protected].
This may be in your spam or junk folder.
Use the link in the email and enter the PIN provided.
Set your new password.
Log in using your username and new password.
Complete provider setup
Once logged in, the provider must complete the following steps:
Go to Provider Tools, then My Details.
Enter your organisation name.
Click Save Changes.
You can now start adding and managing interventions on the platform.
